3 ways to make the employee review process easier
Employee reviews are inevitable in any organization. The process of evaluating strengths, areas of improvement and overall productivity of each individual can feel daunting. Especially if management has not been as meticulous in keeping important information, milestones or conversations with employees documented on a regular basis. How can human resources help management to be more proactive prior to the review season? Here are three simple ways to get started on a better employee review process.
Keep employee files up to date
Suggest to your management that files be kept up to date starting NOW. Any reports that will be relied upon for review purposes, formal conversations regarding disciplinary actions or praise for excellent work or any commendations should be noted in the file as they occur. It improves the accuracy of the review and reduces the stress of remembering all of the employee’s accomplishments or items that need improvement.
Coach and mentor throughout the year
Review time should not be the only time to spring a slew of concerns on an employee. Think about periodic discussions on performance and document those discussions. It provides a history of progression of the employee’s abilities and gives them a chance to address any issues in a timely manner.
Be specific about accomplishments and areas of improvement
Using quantitative measurements along with subjective feedback is ideal. Letting an employee know they “need improvement” or “great job on that account” isn’t much to go on when they are trying to determine what is expected from them. Letting them know of quantitative department or company norms and if they are meeting or exceeding them is a better way to motivate them. It also brings clarity to the review process and less misunderstanding that could lead to the employee believing the process was unfair or wanting to seek legal remedy of some sort because of the review.
